Abstract: A role-based, web-based enterprise resource planning system and method for centralized digitization of academic and administrative workflows of an educational institution is disclosed. The invention comprises a browser-based client layer rendering role-specific dashboards for students, faculty, heads of department, accounts staff, examination-section staff, library staff, and administrators; an application layer exposing JSON-Web-Token-secured REST API controllers for no-objection- certificate (NOC) management, attendance management, fee management, grade management, timetable management, and document management; a centralized relational database accessed through an Object-Relational Mapping layer storing all institutional records and audit logs; and an artificial-intelligence chatbot microservice, implemented using a transformer-based language model exposed through an independent API framework, that answers natural-language queries about NOC status, attendance rules, fee information, and institutional policy. NOC requests are routed through a configurable multi-stage approval pipeline spanning library, head-of-department, accounts, and examination-section approvals, with automatic PDF generation and real-time status tracking upon completion. Attendance, fee verification, and grade data are similarly centralized, with every state-changing operation recorded in an audit log comprising a user identifier, action type, timestamp, and outcome status. The architecture measured an average API response time of under two seconds under normal load and is designed to support concurrent use by the full active student and staff population of an institution, while remaining modular and extensible to future features such as biometric attendance, integrated payment gateways, and dedicated mobile applications, thereby replacing fragmented, paper-based institutional processes with a single, auditable, self-service ERP platform.
