Abstract: Road potholes and damaged roads are major problems that affect public safety, transportation, and road infrastructure management. Existing complaint systems are mostly manual and lack proper monitoring, transparency, and efficient communication between the public and municipal authorities. The proposed Digital Reporting and Monitoring System for Potholes is a web-based platform developed to simplify the process of reporting and managing potholes and damaged road conditions. The system allows users to report potholes by uploading images and providing GPS-based location details through a centralized online platform. The proposed system consists of User and Admin modules connected through a centralized database and cloud storage system. The User Module enables complaint registration, image uploading, complaint tracking, notifications, and complaint history management. The Admin Module supports complaint verification, maintenance assignment, monitoring, analytics, and repair status management. The system also integrates GPS-based location tracking, AI-based pothole analysis, and real-time complaint monitoring for improving maintenance efficiency and identifying high- priority repair locations. The proposed invention improves communication between citizens and authorities, reduces delays in road maintenance activities, increases transparency in complaint handling, and contributes toward safer and more efficient road infrastructure management.
