Abstract: Employees must manually identify, remember, and manage tasks and meetings, resulting in inefficiencies and delays. They experience difficulty due to inbox overload, which decreases productivity and decision fatigue. Existing email systems primarily offer basic sorting and notification functions but lack intelligent content understanding and the ability to extract actionable insights from lengthy messages. Therefore, this paper introduces JENI, an AI-driven email assistant designed to automatically analyze, summarize, and organize email information into meaningful outputs. JENI integrates natural language processing with a local language model (Phi-3 via Ollama) to generate brief summaries, detect urgency, and extract tasks, deadlines, and meeting details from emails, while integrating with Google Calendar to automatically schedule detected events and reminders. This reduces the need for users to check emails manually. A VIP override feature allows users to automatically mark emails from important senders as high priority. The system was implemented using FastAPI, Gmail API integration, Google Calendar API, and a database layer to manage processed insights. Experimental usage showed reduced time spent on email review and improved awareness of critical tasks and meetings. JENI turns the traditional email workflow from a manual and time-consuming process into an organized, intelligent, and proactive system that optimizes productivity and ensures that important communication is never missed.
