Abstract: The Automated Venue Booking and Management System is a cloud-based solution designed to streamline venue reservations for educational institutions. Inspired by modem scheduling platforms, this system automates the booking process, allowing students, faculty, and administrators to seamlessly search, reserve, and manage campus venues while ensuring efficient resource utilization and conflict-free scheduling. The system is built using Flutter for a dynamic cross-platform mobile interface, Firebase Firestore for scalable real-time database management, and Firebase Cloud Functions for backend processing. This technology stack enables instant venue allocation, automated conflict resolution, and intelligent scheduling insights to optimize campus space usage. At its core, the system offers a self-service venue booking process, allowing users to reserve classrooms, seminar halls, and auditoriums instantly while verifying availability, capacity, and institutional booking policies. It automates the management of venue schedules and updates, ensuring that double bookings and scheduling errors are eliminated. Additionally, real-time notifications keep users informed about booking confirmations, cancellations, and updates. An administrator dashboard provides faculty and institution staff with insights into venue usage trends, request approvals, and event scheduling, allowing for data-driven decision-making in resource allocation. The backend leverages Firebase Firestore for real-time data synchronization, while Firebase Authentication ensures secure user access with role-based permissions for students, faculty, and administrators. Firebase Cloud Messaging (FCM) enables instant alerts and reminders, keeping all stakeholders informed of booking status changes. The system also includes an analytics module that tracks venue utilization, helping institutions optimize resource distribution and improve scheduling efficiency. Deploying the system on Firebasces cloud infrastructure enhances scalability and ensures real-time responsiveness, making it suitable for large institutions managing multiple venues. Future enhancements may include AI -driven venue recommendations based on historical booking trends, loT -based integration for smart room management, and automated maintenance scheduling for better facility management. By automating venue booking, this system reduces administrative workload, minimizes scheduling conflicts, and optimizes campus resource usage, making it an ideal solution for universities, colleges, and corporate training centers.
