The system comprises a modular web application architecture including a frontend module with five role-specific dashboards, a Node.js and Express.js backend API module, a MySQL relational database module, a JSON Web Token (JWT)-based authentication and authorization module, and an audit and reporting module. The procurement workflow is operationalized through six sequential, role-gated stages: procurement request initiation by Heads of Departments, administrative validation and approval, vendor quotation collection by Logistics personnel, comparative vendor selection with automated PO document generation by Administration, financial payment authorization with granular payment status tracking by Finance teams, and physical delivery verification and record archival by Stores personnel. The JWT authentication subsystem enforces strict role-based access control at all API endpoints, ensuring that each organizational stakeholder interacts exclusively with system functionalities designated for their role. The automated PO generation mechanism aggregates vendor data, item specifications, stakeholder identities, and action timestamps from multiple database tables to produce formatted, audit-ready procurement documents without manual document preparation. The audit module records timestamped entries for every workflow state transition, enabling compliance verification and governance reporting. The invention provides an affordable, scalable, and technically accessible alternative to complex ERP procurement modules, deployable via standard web infrastructure without proprietary client installation, thereby enabling academic institutions, government offices, and small-to-medium enterprises to achieve transparent, accountable, and efficient procurement operations."
